ROLE SUMMARY

The EWF seeks a Senior Conference and Events Manager to lead and manage the EWF events team as they deliver best-in-class conferences, regional and international meetings, virtual events, networking activities, leadership development classes, and more. Working closely with the Director of Strategic Marketing and the Vice President of Operations, the Senior Conference and Events Manager supports efforts to ensure EWF events fulfil the strategic goals and revenue targets of the EWF, and serves EWF member, benefactor, and sponsor needs.

This is a remote role working in ET/CT time zones. 

Responsibilities include, but are not limited to: 

  • In coordination with the Senior Leadership team, develops and manages a strategic event plan, ensuring continual improvement of EWF events and exceptional education and networking opportunities for attendees.  
  • In coordination with the conference chairs, manages and delivers the EWF Annual Conference each year, including:
    • Oversees the identification, contract negotiation, and management of third-party vendors (hotels, restaurants, AV contractors, security services, entertainment, transportation companies, and other vendors) for the EWF conference.
    • Develops and manages project plans and deadlines related to all aspects of the EWF conference, ensuring that all necessary information is communicated with and completed by staff, volunteers, third-party vendors, and other constituents.
    • Oversees the speaker/session solicitation and selections process, ongoing speaker communication and management, and onsite speaker requirements.  
    • Manages Cvent activities including abstract management, registration, website and mobile app development, and more.
    • Oversees all onsite activities, including room sets, AV set-up, registration set-up/tear down, etc.
    • Manages and oversees staffing and volunteer scheduling for the EWF conference.   
    • Oversees, plans, and manages all special activities held in conjunction with the EWF conference including the EWF annual awards program.
    • Supports the pre, onsite, and post communication efforts in coordination with the marketing team.
    • Develops post-event materials including surveys, reports, and more.
  • Develops and manages project plans, timelines, registration, agendas, continuing education, and onsite needs for regional and international meetings and networking events in coordination with EWF Benefactor partners.
  • Develops and manages project plans, timelines, registration, agendas, continuing education, and online delivery of virtual events and leadership development classes in coordination with internal EWF teams and EWF Benefactor partners.  
  • Develops and manages a yearly editorial calendar for events and manages a smooth flow of events throughout the year.
  • Keeps up to date on the latest event trends and develops and hones event best practices, documentation, and processes.
  • Oversees CPE applications, approvals, and management process for EWF events.
  • Oversees the review and selection of event platforms as needed and serves as the technical resource for any troubleshooting needs.
  • Performs other duties, tasks, and projects as assigned.
Qualifications

Required skills and qualifications:

  • Minimum 7-10 years’ experience in planning and executing multi-day national meetings, regional meetings, and virtual events.
  • Event management platform (Cvent or similar) experience
  • Strong project management skills and the ability to juggle multiple projects simultaneously, assimilate feedback from multiple stakeholders, and adhere to tight deadlines.
  • Self-motivated, results-oriented, and a team player.
  • Capable of consulting with internal staff to achieve conference and organizational goals.  
  • Strong interpersonal skills and work well within a fast-paced, deadline-driven environment.
  • Demonstrated problem-solving skills and the ability to lead and work effectively within and across departments.
  • Excellent communication and written skills.
  • Technically proficient in various platforms (Microsoft Office Suite, project management/CRM tools)
  • Ability to work efficiently from remote home office
  • Some travel required (<10%)
COMPENSATION AND BENEFITS

Compensation for this role has a range of $85,000-95,000 and is eligible for a discretionary bonus. The compensation package includes medical, dental, and vision insurance, 401k match, and generous PTO including sabbatical time and parental leave, as well as short- and long-term disability, life insurance, and FSA. This is a remote role working in ET/CT time zones.
