ROLE SUMMARY
The EWF is seeking an Executive Assistant responsible for high-level administrative support for our Chief Executive Officer (CEO) and Chief Leadership Development Officer (CLDO), including managing their calendars, arranging travel, handling communications, overseeing various administrative duties to ensure smooth daily operations, and acting as the primary point of contact for internal and external stakeholders while maintaining confidentiality and professionalism.
Responsibilities include, but are not limited to:
- Manage calendars for the CEO and CLDO, including scheduling appointments and follow-ups, managing meeting requests and deadlines, prioritizing crucial engagements, and resolving scheduling conflicts.
- Gather key information and create prep documents for all appointments, calls, meetings, and events.
- Prioritize inquiries, draft and edit correspondence, and respond to routine communications.
- Arrange travel logistics, including booking flights, accommodations, transportation, and managing itineraries.
- Provide onsite executive support at the EWF Annual Conference.
- Create and edit PowerPoint presentations, reports, and communications.
- Manage expense reports and other administrative duties.
- Provide learning management system support and back-up for the leadership development team.
- Assist with special projects, including research, data compilation, and project management tasks.
- Work closely and effectively with the CEO and CLDO to keep them well informed of upcoming commitments and responsibilities and follow up as appropriate.
- Act as a liaison between the CEO and CLDO, the EWF and DSG Global teams, and the EWF community to follow up/ensure projects are completed and deadlines are adhered to.
- Support the EWF team as necessary on ad-hoc projects.
- Other responsibilities as requested.
Qualifications
- Minimum 4 years of experience supporting a CEO or other high-level executive
- Exceptionally organized with keen attention to detail and the ability to shift focus and priorities when necessary
- Adept at appointment setting, calendar follow-ups, and the creation of meeting prep documents
- Excellent verbal and written communication skills
- Excellent interpersonal and relationship-building skills and experience interacting with senior-level executive clients
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, etc.) and other relevant software
- Able to quickly and efficiently solve problems and offer resourceful solutions
- Able to maintain confidentiality and display discretion
- Able to work efficiently from a remote home office
- Experience with Monday.com or similar project management tools and LearnUpon or similar learning management tools (preferred)
- Some travel required (<10%)
COMPENSATION AND BENEFITS
Compensation for this role has a starting salary of $70,000 (dependent on experience) and is bonus eligible. The compensation package includes medical, dental, and vision insurance, 401k match, and generous PTO including sabbatical time and parental leave, as well as short- and long-term disability, life insurance, and FSA.
